Based in Midtown Manhattan, Oxford University Development (North America), Inc. (OUDNA) has an opening for an Executive Assistant/Communications Manager who will report to the Executive Director while also working closely with all other members of the staff. This hybrid position offers a unique opportunity to acquire knowledge of all facets of working in a fundraising office while building up a strong North American-focused social media and web presence for a world-renowned university. Responsibilities include the following:
Executive Assistant
- Meet daily with the Executive Director to ensure calendar and to-do list are up-to-date
- Assist with travel arrangements for Executive Director’s and University leadership’s domestic and international trips
- Maintain itineraries for the Executive Director and University leadership visits to the U.S., ensuring accuracy of meetings and travel details
- Proofread and edit emails as requested by the Executive Director
- Assist Executive Director in electronic reconciliation of monthly receipts
- Provide support for Executive Director’s phone and the office’s main line
- Liaise with key U.K.-based staff, academics, and their support staff on a regular basis
- Work with Fundraisers, Events team, and U.K.-based staff to coordinate termly report for the Central University
- Assist in tracking University brochures in office library, ensuring materials are up-to-date and office is cleaned out quarterly
Communications Manager
- Manage all Oxford North American Office social media channels: Twitter, Facebook, Instagram and LinkedIn, as well as our presence on the Oxford Alumni Community
- In collaboration with the Events and Alumni Relations team, update the North American Office’s website and send email communications as needed
- Develop stories by speaking with alumni and U.K.-based colleagues to feature projects by alumni and University academics
- Work with Oxford North American alumni to develop feature stories about new publications to post on our website and social media accounts
- Collaborate with Oxford North American alumni groups to design and send communications about local alumni events using the University’s database system
- Update Oxford North American web calendar, event history page and the University’s database with planned alumni events
- Act as primary coordinator of holiday greeting cards, to be assisted by office Fundraisers
- Work closely with the Events and Alumni Relations team on projects, including the biennial Alumni Weekend in North America (to be held next in April 2020)
- Gather information from Facebook and Google Analytics to see how users respond to and interact with content
Desired Qualifications
- A self-starter who can work independently, as well as be a contributing member of a team
- Must be detail-oriented
- Excellent interpersonal skills with ability to work in a professional office
- Fluent in Microsoft Office, Hootsuite and all social media platforms
- Strong writing and analytical skills
- Graphic design and web-building skills a plus
